Initial Reservation Payment: An initial reservation payment of $200 is due and payable upon making a reservation*. This reservation payment gets applied to the rental total. It is not a refundable deposit. You may pay your initial reservation payment via VISA, MasterCard, Discover, or American Express. If payment is made by check, ALBVR must receive check within ten (10) calendar days of making said reservation. If check has not been received within ten (10) calendar days, such reservation shall be canceled.
*Excludes Properties: Casa Playa, Casa Playa East, and Casa Playa West – 50% non-refundable payment is due and payable upon making a reservation at these properties.
Reservation: Upon making reservation, we will email you ALBVR’s Rental Agreement. ALBVR’s Rental Agreement will need to be reviewed and signed within 24 hours or your reservation will be canceled. Once your initial reservation payment has been processed and we have received the signed rental agreement, you will receive written confirmation via email. Because you are responsible for the accuracy of your dates and unit, please check your confirmation carefully and call us immediately if any corrections are necessary, otherwise it will be assumed correct. Receipt of initial reservation payment also implies that you have read, understand, and accept ALBVR’s Rental Terms & Conditions associated with this rental agreement.
Rental Payment: Full rental payment shall be due and payable thirty (30) days in advance of check-in date for all reservations less than a month*. For winter monthly reservations, each month shall be due and payable ninety (90) days in advance of arrival for all reservations 1 month or longer*. If a last minute reservation is made (within 30 days of arrival date or 90 days of arrival date for monthly stays), the total amount shall be paid by credit card or cashier’s check, no checks will be accepted.
*Excludes Properties: Casa Playa, Casa Playa East, and Casa Playa West – full rental payment/balance shall be due sixty (60) days in advance of check-in date for all reservations (daily and weekly; 90 days for monthly) at these properties.
Cancellations/Rescheduling: We require at least a 30-day cancellation notice for condominium and home rentals prior to your arrival date*. Monthly rentals require at least a 90-day cancellation notice*. If you do not purchase travel insurance and if less than required notice is given, the entire rental amount will be held for lost rent, regardless of circumstance (i.e., accident, illness, hurricane, etc.). If notice is given within the cancellation period, the initial reservation payment less a $45.00 reservation fee shall be returned, with no exceptions. Sorry, there are no refunds for late arrival or early departure, regardless of circumstance. The same rules and timeframes apply to date changes or property changes for reservations. If you have concerns about your travel plans, we offer traveler’s insurance via CSA’s “Guest Protect Plan”. The plan costs 6.95% of your total vacation cost. To add this policy, you must add it prior to paying in full. Once you pay in full, you are not permitted to add travel insurance.
*Excludes Properties: Casa Playa, Casa Playa East, and Casa Playa West – We require at least a 60-day cancellation notice prior to your arrival date for daily and weekly stays and at least a 90-day cancellation notice prior to your arrival date for monthly stays for these properties. If you do not purchase travel insurance and if less than required notice is given, the entire rental amount will be held for lost rent, regardless of circumstance (i.e., accident, illness, death, mandatory evacuation for hurricane, etc.). If notice is given 60 or more days for daily and weekly stays and 90 or more days for monthly stays from your arrival date, the initial 50% reservation payment is non-refundable, with no exceptions.
Hurricane Cancellations: ALBVR offers travel insurance through CSA and strongly recommends that you purchase coverage when making vacation plans during the hurricane season (June – November). The CSA policy supersedes any and every other policy that ALBVR has in regards to weather-related cancellations. If you do not purchase travel insurance, NO REFUND will be issued without a mandatory hurricane evacuation for the area where the vacation rental is located. If our area issues a mandatory hurricane evacuation, any refunds will be prorated, based on the time that you have spent in the property*.
*Excludes Properties: Casa Playa, Casa Playa East, and Casa Playa West -If you do not purchase travel insurance, NO REFUND will be issued for any voluntary or mandatory hurricane evacuations for the area where the vacation rental is located.
Travel Insurance: CSA Vacation Rental Insurance is available through ALBVR and covers cancellation or interruption of your stay, travel delay, baggage delay, rental car damage, and emergency/medical/dental expenses. Please read your documentation carefully as certain limitations, restrictions, and exclusions apply. The plan is optional, but we strongly recommend it. In case of unforeseen events, this insurance helps protect your vacation investment. IF YOU CHOOSE NOT TO PURCHASE THIS COVERAGE, NO REFUND WILL BE GIVEN WITHIN THE APPLICABLE CANCELLATION PERIODS OUTLINED ABOVE. For questions concerning the travel insurance or to make a claim due to a cancellation, please call CSA directly at 1-800-554-9839. Changes and Property Substitution: Rates, descriptions (including bed sizes), décor, furnishings, amenities (including pools, hot tubs, etc.) and availability are subject to change WITHOUT NOTICE. No refunds will be issued for changes made by individual property owners or unavailable amenities. Substitution of comparable properties or cancellation may be made without notice or liability, should the property you reserved become unavailable for rent (i.e., property sold, unit got flooded, etc.). You may choose an available comparable property at the published rate and if that is not available you shall receive your reservation payment back.
Check-In: Check-in time begins at 3:00 PM CST*. *Excludes Properties: Casa Playa, Casa Playa East, and Casa Playa West – Check-in time begins at 4:00 PM CST for these properties.
Upon arrival, please inspect condo and notify ALBVR of any housekeeping or maintenance problems within 3 hours of arrival, so we can promptly take care of any issues. Guest agrees to give ALBVR a reasonable amount of time to resolve any problems that may be encountered on arrival or during your stay at the property. No housekeeping refunds/adjustments will be given unless ALBVR does not correct issues after being notified by Guest in a reasonable amount of time. If you do not report any issues, no refund will be given after your departure. If you do not allow ALBVR the opportunity to fix any issues, no refund will be given.
During slow seasons, ALBVR may offer a priority arrival time at a nominal fee if the unit is available. During peak seasons, early arrival is NOT an option. Please contact ALBVR for more details. In some cases, our housekeeping standards may require more time to clean a property. We CANNOT guarantee property will be cleaned by 3:00 PM CST. Check-in instructions and details will be sent to you, via e-mail, seven (7) days in advance of your arrival date. Please contact us if you have not received your check-in procedures a week prior to your stay.
Check-Out: Check-out by 10:00 AM CST. It is imperative that you abide the check-out time. The late check-out charge is $25/per each 15 minute increment after 10 AM, CST.
Rental Periods: The rental periods vary by property, see property listing. Some properties accept daily, weekly, and monthly rentals.
Rental Occupancy: The number of people allowed to reside in the property varies by property and shall not be exceeded; please refer to the property listings’ “Sleeps” number. NO house parties are allowed. Singles must be 25 years of age or older. A parent must accompany singles younger than 25 years of age*. All rules and regulations at each property must be strictly observed. Any reservation made under false pretenses will result in forfeiture of advance payments and the party will not be permitted to check-in or may be forced to evacuate property immediately and no refund will be issued. *Identification must be furnished upon request. Please Note: Violations of rental occupancy restrictions are grounds for IMMEDIATE EVICTION AND FORFEITURE OF ALL RENT.
Damage Deposit Waiver: Damage Deposit Waivers are a non-refundable fee and are built-in to your vacation cost. This damage waiver fee only covers accidental damages up to $1,000 that may occur during your stay. Guest is financially responsible for non-accidental, result of negligence and careless acts, and intentional damage, theft, as well, any accidental damage over $1,000. Guest authorizes ALBVR to charge the credit card on file for all malicious, intentional, theft, negligent, and careless acts (i.e., excessive cleaning and/or stains, broken furniture, evidence of smoking, etc.).
Departure Cleaning: We will have the unit cleaned upon your departure. Still, you are responsible for leaving the property in reasonable order: cleaning all dishes and putting them away, disposal of all trash, including refrigerator and freezer items. Finally, please leave beds unmade and do not leave wet linens in the washer (ALBVR launders offsite).
Linens/Supplies: All properties will have Egyptian cotton blend sheet sets and towel sets (sleeper sofas, futons, and bunk beds do not have Egyptian cotton sheets). Bed linens and bath towels are not changed during your stay. There is a washer and dryer in the property for this purpose (a few properties do not have a washer or dryer; please refer to your property listing). You will be responsible for purchasing laundry detergent. Do not use any bleach with the Egyptian cotton linens. Accidentally damaged linens and towels will be billed against the Damage Deposit Waiver. Loss of linens will be charged to the credit card on file, since that is theft. Each unit will have a startup set of supplies (1 roll of toilet paper per bathroom, 1 small bar of soap for each sink and shower, 1 trash bag liner for each trash can, 1 roll of paper towels, 2 dish tabs, dish soap, and sponge). These startup items are not replenished during your stay.
Keys to Property: In most properties, you will receive two (2) sets of keys. Upon departure, please leave both keys, per the instructions in your Check-Out document. If both keys are not left, you will be charged $25 for each missing key.
Lockouts: If you accidentally lock yourself out of the unit, you will be charged a $35 service call. If after hours or holidays, extra rates will apply.
Parking: Parking spaces vary by property, please see property listing. Parking is regulated by the condominium association. Many condominium associations require a fee for each parking pass. If parking pass fees apply, you will be charged the applicable amount. Please no boats, trailers or RVs. NOTE: We cannot guarantee available parking space during peak occupancy weekends or other high occupancy times.
No Guarantees: Working condition of pools, hot tubs, air conditioners, cable, phones, internet service, TVs, DVDs, appliances, elevators, etc., are NOT guaranteed. No guarantee that pools will be heated. NO REFUNDS or rate adjustments will be made for mechanical failures and malfunctioning equipment. These amenities are no additional charge extras provided in addition to the condominium rental. Although all attempts will be made to correct the situation, some breakdowns cannot be prevented or repaired during your occupancy.
Quiet Enjoyment: Guests shall respect the surrounding accommodations and maintain a quiet environment. If you are reported to being disruptive, you may be forced to evacuate and will result in forfeiture of all advance payments.
Furnishings: Décor, style, color schemes and inventory vary since properties are individually owned and can change at any time WITHOUT NOTICE. Some online photos may differ due to owner updates or changes. Please do not transfer furnishings from one property to another. Also, please do not rearrange furniture during your stay. Loss to these items, as well as damage to the unit or furnishings in excess of normal wear will be charged to the guest’s credit card. If you require special appliances or equipment, please bring them with you.
Properties for Sale: If a property is for sale, the owner reserves the right to have the property shown to prospective buyers. A real estate sales associate or ALBVR will contact you to make arrangements to schedule the showing at a convenient time.
Construction: You may reserve a property at a time when no construction is nearby, but construction could begin prior to your arrival. We regret any inconvenience but cannot control these situations. Refunds or relocations cannot be considered.
Grilling: Fire Department regulations prohibit use of grills on all decks, porches and balconies. Some properties have areas for grilling, refer to property listing.
Pets: Sorry, NO pets are allowed at the property. A pet or evidence of a pet found on premises will cause forfeiture of entire rent, plus any additional damage the pet may have caused. If you sneak a pet in and housekeeping finds evidence of a pet after your departure, your credit card will be charged $500. If further damage occurred from pet (scratches on baseboards, furniture, etc.), you will be responsible to repair/replace all damaged items.
Smoking: NO smoking is allowed at the property. Please refer to your property listing because some properties do not allow smoking except in designated areas. Evidence of smoking inside the property or outside the property with the door open (i.e., smoking on balcony with the door opened, so the smoke smell goes inside the unit), will cause forfeiture of entire rent, plus any additional damage the smoke may have caused. If you need to smoke, you must smoke outside and make sure ALL of the doors are shut to the unit. If the property smells like smoke after your departure, your credit card will be charged $500. If further damage occurred from smoking (i.e., stains, burn marks, etc.), you will be responsible to repair/replace all damaged items.
Owner’s Closet: Locked owners’ closets are not included in your rental. If you break into them, you will be charged for the repair and any property stolen.
Fireworks: Fireworks are strictly prohibited by law at all properties.
Firearms: Firearms are prohibited at all facilities.
Personal Items: If you leave any personal items in the property, we are not responsible for finding and/or returning the items. If we do find them and you want them shipped back to you, your credit card will be charged a $35 fee, plus cost of shipping and materials.
Note: By accepting ALBVR’s Rental Terms and Conditions of the Rental Agreement, a binding legal document, verifying that you are an adult and financially responsible for any damage made by parties present during your occupancy dates. Any reservation made under false pretense will result in eviction with loss of initial reservation payment and rent.
